Sharing is Good – SharePoint Can Help!
The final phase of our ongoing project to integrate and upgrade YMCA Black Country (YMCABC) group’s IT systems started last month with the installation of several SharePoint websites. Some of the smaller services, such as The Glebe Centre and The Small Street centre in Walsall, were the first to benefit, and SharePoint is now being rolled out across the whole organisation.
A Private “Cloud”
YMCABC had several key requirements:
- Internet enabled so that SharePoint websites can be accessed securely from any location to create a private “cloud”.
- A single set of user credentials (username and password) to use work-based computers and SharePoint.
- Access to data should be possible using mobile devices as well as desktop PCs.
Why You Should Consider SharePoint
- Document Management. SharePoint is ideal for managing manuals, policies and procedure documents.
- Electronic Forms. Automate systems like expense claims, holiday requests, time sheets and purchase orders.
- Reference Centre (Wiki). Organisations can use Wikis to help store and share information. Information that an employee found helpful can quickly be available to other employees.
- Contact Details. Provide a single source for external contacts details and a detailed staff directory.
- News Distribution. Share your organisation’s news.
- Storage of Digital Media. Store many forms of digital media including photographs, videos and podcasts.
- Information Searching. Index documents and repositories so that staff can search and retrieve company information.
- Meeting Management. Use meeting templates to plan agendas, create minutes and check on follow-up actions.
